Specialist, Estates & Life Income Gifts

Planned Parenthood Federation of America (PPFA) seeks a dynamic and effective Specialist, Estates & Life Income Gifts who will work with the Director of Gift Planning and manage PPFA’s specific-gift estates-in-probate, provide support for the estates-in-probate program, and assist with PPFA’s life income gift program.


  • Responsible for daily steps for specific-gifts estates-in-probate, including ongoing research; reviews legal documents with the assistance of the Associate Director and Estates Officer.

  • Represent PPFA with law offices, family members, and estate executors and records all activity.

  • Prepare correspondence and request legal documentation for specific-gift estates; contacts all specific-gift open estates twice a year for distribution status.

  • Track estate activity for specific-gift estates on spreadsheets and database records.

  • Create a reliable and thorough electronic tickler system for timely follow-up and next step activity for specific-gift estates.

  • Track specific-gift estate gift expectancies for the fiscal year and develop income projections as requested; correspond with trust officers, executors, and attorneys to estimate distribution amount and timelines.

  • Set up new estates-in-probate by creating new paper files, spreadsheet entries, and database records; populates new estate data on Planned Giving Records in Salesforce.

  • Prepare and submit pass-through gift requests to Finance for affiliate designated gifts and database gift adjustments to Development Systems.

  • Research deceased and suspected deceased individuals; codes deceased donors in Databases, notify PPFA and affiliates of donors with obituaries that mention Planned Parenthood, and maintains donor files of deceased PPFA bequest intents.

  • Maintain a portion of the Planned Giving department’s computer and paper files; suggest the retaining or purging of paper files for closed specific-gift estates using established record retention policies and scan pertinent estate paper documents to electronic files.

  • Work as staff liaison with administrative partner PG Calc and participating affiliates on the program for Affiliate-Issued CGAs.

  • Provide back-up and support to the life income gifts program.

  • Assist with the production of donor contracts, gift reports, and legal acknowledgments; compile donor gift packets, correspond with affiliate life income gift beneficiaries, and request pay orders for affiliate checks.

  • Attend weekly departmental meetings, regular supervisory meetings, and educational programs related to Gift Planning.


  • Bachelor’s degree required.

  • 1-3 years of fundraising experience, preferably in planned giving or as a paralegal.

  • Proficient database, spreadsheet, and word processing skills.

  • Notary Public certification or willingness to obtain certification within first six months.


  • Ability to review a variety of legal documents on behalf of PPFA.

  • Capacity to synthesize often complex technical information and summarize for colleagues.

  • Superb telephone and writing skills.
